Analytics
The analytics dashboard shows you how clients are using your portal — how often they log in, which records they view most, which clients are most active, and how many forms they submit. Use it to understand engagement, spot dropped-off clients, and make the case for renewals. Analytics is a Pro and Agency feature.
Opening analytics
From the portal's sidebar, click Analytics. On Starter plans, this page shows an upgrade prompt — the data is still being collected, so you'll have history when you upgrade.
Time windows
Use the 7 days / 30 days / 90 days switcher at the top-right to change the time window. The chart, metrics, and top-5 lists all update to match.
- 7 days — hourly buckets. Best for spotting a specific day's spike.
- 30 days — daily buckets. Best for understanding weekly patterns.
- 90 days — daily buckets. Best for longer trends and comparing months.
Analytics data refreshes every 5 minutes (cached). The "Updated X minutes ago" line below the chart tells you when the data was last fetched.
Metrics
The top row shows six numbers for the selected time window:
| Metric | What it counts |
|---|---|
| Active clients | Distinct clients who logged in at least once |
| Total logins | Every login, including repeat logins by the same client |
| Record views | Every time a client opened a record's detail page |
| Form submissions | Successful form posts |
| Comments posted | New comment threads and replies |
| File downloads | Every time a client downloaded a file from a record |
Activity chart
Below the metrics is a stacked area chart showing each metric as a series over time. The chart is colored by metric type — hover any point to see the exact counts for that time bucket.
When a portal has no activity in the selected window, the chart shows an empty state with a suggestion to share the portal link with clients.
Top viewed records
The Top viewed records panel shows the 5 most-opened records in the selected time window, with view counts. Click any record to open its detail page in the portal preview — useful for understanding what clients care about most.
Top active clients
The Top active clients panel shows the 5 clients with the most logins in the selected time window. Each entry shows their email and the timestamp of their most recent login.
The All clients → link takes you to the full Clients page where you can see every client's access history.
Connecting analytics to the audit log
The View raw audit log → link at the bottom of the analytics page opens the audit log pre-filtered to the same time window. Use this when you need to drill into a specific client's activity or investigate an anomaly you spotted in the chart.
Plan limits

Data is collected on all plans
Even on Starter, Quelvo records every login, view, and submission in the audit log. If you upgrade to Pro later, you'll have the full historical data in your analytics dashboard from day one — nothing is retroactively lost.
